Job Description

The Executive Assistant provides high-level administrative, operational, and human resources support to senior leadership. This role requires exceptional organizational skills, discretion, and the ability to manage complex schedules, communications, and HR-related functions in a fast-paced, public-facing environment. The Executive Assistant serves as a key liaison between the internal departments, external stakeholders, and constituents, while also supporting personnel coordination and HR compliance.

Key Responsibilities
Executive Support & Scheduling

  • Manage the County Executive’s calendar, travel, and meeting logistics
  • Coordinate briefings, agendas, and follow-up actions for internal and external engagements
  • Handle confidential communications and correspondence with tact and professionalism

Communications & Liaison Duties

  • Draft and edit official correspondence, memos, and reports
  • Serve as a point of contact for internal staff, government officials, and constituents
  • Facilitate cross-departmental communication and stakeholder engagement

Meeting & Event Coordination

  • Organize public events, press conferences, and ceremonial functions
  • Prepare materials and talking points for meetings and appearances
  • Support logistics and documentation for strategic initiatives

Administrative Operations

  • Maintain confidential records, databases, and filing systems
  • Process expense reports, procurement requests, and travel authorizations
  • Assist with special projects and executive initiatives

Human Resources Support

  • Coordinate onboarding and offboarding processes for County Executive Office staff
  • Maintain personnel files and ensure compliance with HR policies and procedures
  • Support performance management tracking, training coordination, and employee engagement efforts
  • Assist with recruitment logistics, job postings, and candidate communications
  • Ensure adherence to county, state, and federal HR regulations, including EEO and ADA compliance
  • Serve as a liaison to the County’s HR Department for staffing, benefits, and employee relations matters

Qualifications

  • Bachelor’s degree in Public Administration, Human Resources, Communications, or related field
  • Minimum 5 years of executive-level administrative experience, with at least 2 years in HR or personnel support
  • Strong understanding of HR principles, policies, and compliance standards
  • Exceptional written and verbal communication skills
  • Proficiency in Microsoft Office Suite and HRIS platforms
  • Ability to manage sensitive information with discretion and sound judgment
  • Commitment to public service, equity, and community engagement

Preferred Attributes

  • Experience supporting elected officials or senior government executives
  • Familiarity with Prince George’s County government structure and HR systems
  • HR certification (e.g., SHRM-CP, PHR) is a plus
  • Bilingual proficiency (Spanish or other languages) is a plus
