Job Description
We are seeking an experienced Title Closer to take a hands-on leadership role within our real estate closing department. This position is responsible for ensuring that all transactions move efficiently from contract to close, deadlines are met, files remain accurate and compliant, and clients receive exceptional communication throughout the process.
The ideal candidate is detail-driven, proactive, confident in managing title issues, and comfortable guiding both team members and clients through the closing process. You are someone who anticipates issues before they arise, keeps transactions on track, and maintains a high standard of accuracy and service.
Responsibilities:
• Serve as the point leader for the Real Estate POD, ensuring all files move smoothly, accurately, and on schedule.
• Provide ongoing guidance, training, and performance feedback to team members; communicate training needs to management.
• Reassign work effectively based on priority, skill level, and workflow demands.
• Maintain awareness of deadlines, closing dates, and required documentation to prevent delays or errors.
• Monitor workflows and escalate issues or errors promptly to management.
• Review title searches, lien searches, estoppels, surveys, maps, agreements, public records, and contracts to confirm ownership details and identify any issues affecting conveyance.
• Assign and supervise tasks needed to clear title requirements.
• Ensure all commitments are met before closing and verify the accuracy of closing documentation.
• Oversee the issuance of title policies and the preparation of closing statements.
• Confirm that closing conditions and regulatory requirements (FIRPTA, FinCEN, state requirements, etc.) are fully satisfied before funding.
• Provide clear, timely communication with buyers, sellers, real estate agents, lenders, and other involved parties.
• Educate clients and agents on closing steps, requirements, and expectations.
• Address issues quickly and professionally, ensuring all parties remain informed at key stages of the transaction.
• Manage escrow sub-accounts for all assigned files.
• Oversee deposit posting, incoming/outgoing wires, escrow letters, and post-closing releases.
• Supervise funding procedures, including verbal confirmations, wire setup, and balancing.
• Lead resolution of BI requirements.
• Review, resolve, and document critical notes.
• Prepare and review closing statements, request cash-to-close, complete funding steps, and finalize wire processes.
• Attend RON signings, coordinate in-person signings, manage lease escrows, and oversee buyer/seller signing logistics.
• Ensure all deadlines, REP calculations, objection letters, POA steps, and task triggers are completed accurately.
• Manage special scenarios inolving POA Approvals, Underwriter coordination, FIRPTA exceptions and all related communications with the parties involved.

• Holdback creation, execution, deadlines, and releases
• Prepare and/or review closing packages for cash and loan transactions.
• Verify mortgage documentation, third-party orders, signatures, and file completeness.
• Ensure prompt recording of documents.
• Oversee post-closing actions, including holdback releases, escrow refunds, and file reconciliation.
Qualifications:
Minimum 3–5 years of experience as a Title Closer or Senior Closer in a high-volume environment.
Strong understanding of the complete title process: title review, clearing requirements, document preparation, funding, escrow, and post-closing.
Experience working in Qualia or comparable closing software (preferred).
Excellent attention to detail, organizational skills, and ability to manage multiple deadlines concurrently.
Confident communicator capable of setting expectations and guiding parties through issues.
Ability to work collaboratively with processors, assistants, real estate agents, lenders, and attorneys.
Strong problem-solving skills and ability to “think ahead” to prevent delays or errors.
Work Environment & Reporting Structure • Works closely with an opener/processor and has part-time administrative support available on designated days.
• Reports directly to the Operations Manager and Owner .
